Position: Director of Events
Classification: Full-time/Exempt
Reports To: Senior Vice President of Marketing & Member Services

Objective
The Director of Events works closely with the Senior Vice President of Marketing & Member Services in handling all event revenues, as well as planning and executing the organization’s 100 annual events. The Director oversees all logistical details to ensure that events are successfully implemented and creates special event action plans that focus on one or more signature events such as the Annual Meeting, Athena Award Dinner and more.
Essential Functions & Responsibilities
- Lead all aspects of the Events division and oversee the work of the Events Coordinator.
- Responsible for ticket administration and sales with a strong emphasis on customer service, data coordination and analysis.
- Keep inventory of necessary event supplies and expenditures to assure accurate event budget coordination.
- Produce and/or email reports, event invoices, attendee rosters and name badges for all functions.
- Assist with collections of event registration fees and sponsorships that are past due.
- Set up and coordinate all Chamber functions, such as printing table tents and other signs, special equipment, transporting event items, etc.
- Assist with and coordinate logistical details for various but limited external events our members hold. These may include groundbreaking ceremonies and celebrations, business events and more.
- Manage Mahoning Valley Safety Council, including working with a steering committee to secure topics and speakers for 12 annual events and acting as liaison between the Chamber and Ohio BWC in facilitating and growing the MVSC program.
Event Duties
Coordinate logistics and event details as assigned by the Senior Vice President, to include:
- Develop and manage program/event budget.
- Manage event operations to ensure the integrity of the annual program calendar of events.
- Manage entire process for all events in which the Chamber is involved.
- Coordinate logistics and event details.
- Meet with vendors to arrange for set-up and coordination of events.
- Assist members and registrants with customer service-related matters regarding registration, seating, etc.
- Set up event agendas and schematics.
- Secure corporate sponsorships and create new sponsorship opportunities and benefits for our signature and other events.
Education & Experience
- Bachelor’s degree in business administration, hospitality, marketing or other related area.
- Minimum three to five years of office administration, special events, sales or similar experience.
Qualifications Required (Computer Skills, Knowledge & Abilities)
- Ability to create spreadsheets and work in Microsoft Excel and Word in addition to basic computer skills.
- Ability to perform multiple duties and willingness to work in teams.
- Excellent written and oral communication skills.
- Ability to work independently with moderate supervision.
- Ability to control workflow and remain consistent with accounting processes.
- Strong telephone sales skills.
- Strong interpersonal skills.
Language / Writing
Ability to read, write, compile, generate, analyze and interpret documents and reports. Ability to respond effectively to sensitive inquiries or complaints.
Physical Requirements
- Availability to attend evening and early morning events, travel to various event venues across three counties and stay overnight at a limited number of events held outside of our region. Lead and/or participate in all Chamber special events as required.
- The duties of this job may entail standing, walking, sitting, climbing stairs, stooping or kneeling.
- Candidate must be able to lift 25-30 lbs. and perform basic activities for set-up and take-down of event equipment, loading/unloading, moving boxes, setting up displays, etc.
Performance Standards
The effectiveness of the Events Manager is measured against annual goals established with the Senior Vice President for his/her Chamber leadership in the region. These goals are based upon internal and external performance measures articulated in the Regional Chamber’s strategic plan.
Evaluation/Review Process
The effectiveness of the Events Manager is ordinarily reviewed annually through a professional development and evaluation process facilitated by the Senior Vice President that includes input from the Manager.
