Executive Coordinator

Job Description

The Executive Coordinator is responsible for exercising independent judgment and considerable initiative to provide a wide range of administrative and managerial support to the President & CEO. Responsibilities include oversight of office management, preparing reports and data analysis, strong computer and research skills, flexibility, excellent interpersonal skills, project coordination and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Duties may also include supervision of other administrative personnel.

This position requires an enthusiastic, independent, and attentive professional to provide high-level administrative support to the President & CEO and Board of Directors. This individual is responsible for providing administrative and strategic support to the President & CEO and will also function as the primary contact person for the Board of Directors and associated committees (Executive Committee, Finance Committee, etc.). 

Qualifications and Requirements

1.      Bachelor’s degree in business, finance, or public administration desired.
2.      Strong organizational, planning, problem analysis, and problem-solving skills.
3.      Excellent written and verbal communication skills. Proven ability to work in a high-energy and demanding environment.
4.      Extensive knowledge of office administrative procedures and knowledge of use and operation of standard office equipment acquired through 5+ years related experience.
5.      Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
6.      Strong analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
7.      Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
8.      Strong work ethic.

General Duties and Responsibilities

The Executive Coordinator is responsible for the following duties and responsibilities:

1.      Serves as key member of Regional Chamber team, reporting directly to the President & CEO.
2.      Handles a wide variety of complex situations and conflicts involving the administrative & managerial function of the office.
3.      Exchange information, give direction, provide guidance, and coordinate projects on behalf of the President & CEO.
4.      Take authorized action during President & CEO’s absence and uses initiative and judgment to see matters requiring attention are       referred to delegated authority or handled in a manner to minimize effect of President & CEO’s absence.
5.      Attend executive management staff meetings convened by the President & CEO.
6.      Participate in annual professional development/performance planning for his/her role.
7.      Perform other duties as assigned by the President & CEO or as deemed necessary to assure the success of the Regional Chamber and its activities.

Specific Position Responsibilities

The Executive Coordinator is responsible for these specific responsibilities:

1.      Composes correspondence requiring knowledge of President & CEO’s philosophy, and some understanding of technical matters; may sign for President & CEO when technical or policy content has been authorized.
2.      Create meeting agendas and may serve as recorder of minutes at meetings with responsibility for transcription, distribution to participants and arranges for staff implementation.
3.      May sort, read and annotate incoming mail, documents and email, and attach appropriate file to facilitate necessary action; determines routing, signatures required, and maintain follow-up.
4.      Schedules and organizes activities such as meetings and activities within the department.
5.      Analyzes operating practices, such as record keeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to create new systems or revise established procedures.
6.      Issues, interprets and manages operating policies. Updates processes, and procedures related to office safety; emergency drills, First Aid supplies and inclement weather.
7.      Coordinates collection and preparation of operating reports, such as budgets, expenditures, and statistical records of performance data.
8.      Coordinates all general and special guest visits.

Performance Standards

The effectiveness of the Executive Coordinator is measured against annual goals established with the President & CEO for his/her Chamber leadership in the region. These goals are based upon internal and external performance measures articulated in the Regional Chamber’s strategic plan.

Evaluation/Review Process

The effectiveness of the Executive Coordinator is ordinarily reviewed annually through a professional development and evaluation process facilitated by the President & CEO, which includes input from the Executive Coordinator.
